Terms and conditions
Last updated: 19 October 2026
These terms apply to your use of Nurtivo, an online workspace for nurseries, early years settings and schools. By registering a school, signing in, or using Nurtivo, you agree to them. If you are accepting on behalf of a school or setting, you confirm that you have authority to do so.
1. Who we are
Nurtivo (“Nurtivo”, “we”, “us”)
[Registered or trading address]
Email: support@nurtivo.co.uk
2. Who Nurtivo is for
Nurtivo is provided to organisations (nurseries, early years settings and schools), not to individual consumers. The “school” in these terms means the organisation that holds the account. Staff and families use Nurtivo only through access given by their school.
3. Registering and your account
- A school applies on our website. We review each application and may approve or decline it. The free trial starts when we approve it.
- The person who registers becomes the school’s administrator and is responsible for the account, for inviting teachers and families, and for removing access when people leave.
- Information you give us must be accurate. Keep passwords confidential and tell us promptly if you think an account has been misused. You are responsible for activity under your school’s accounts.
4. Free trial, price and payment
- Each school can try Nurtivo free for 30 days. No card is needed to start.
- After the trial, continued use requires an annual subscription at £49.99 per school per year ([state whether £49.99 includes or excludes VAT]).
- Payment is taken by card through Stripe, in advance. We do not see or store your card number. The subscription renews automatically each year until cancelled.
- We will give at least 30 days’ notice, before a renewal, of any change to the price.
- If the trial ends or a payment is not received, access to the school’s workspace is paused until the subscription is active again. We keep the school’s information for the period in our privacy policy.
5. Cancelling and refunds
- A school administrator can cancel renewal at any time from the school’s billing page. The school keeps access until the end of the period it has paid for, and the subscription then ends.
- Fees are charged in advance and are not refundable once a subscription year has started, unless the law requires otherwise or we agree in writing.
- You or we can also end the agreement as set out in section 11.
6. What you can and cannot do
You must use Nurtivo lawfully and sensibly. In particular you must not:
- upload or share anything unlawful, abusive or harmful, or anything you do not have the right to share;
- try to access another school’s information, or information you have not been given access to;
- probe, disrupt or overload the service, or try to bypass its security or usage limits;
- copy, resell or reverse-engineer Nurtivo, or use it to build a competing service; or
- use accounts for anyone other than the intended person.
7. Your school’s responsibilities for children’s information
The school decides what it records about children and families, and is responsible for it. Before using Nurtivo the school must make sure that it:
- has a lawful basis for the information it records, and tells families about it;
- has any permissions it needs, particularly for photos, and for observations that involve more than one child (the parents of each linked child can see that observation);
- keeps what it records appropriate, and avoids putting sensitive details in free-text fields unless its own policies allow; and
- deals with requests from families about their information, with our help where needed.
For this information the school is the controller and Nurtivo is its processor, as explained in our privacy policy. If your school needs a written data processing agreement, contact us.
Nurtivo is a learning-journal tool. It is not a safeguarding, medical or statutory-records system, and schools must keep using their own systems for those.
8. Parents and carers
Families access Nurtivo through an invitation from the school. You must keep your sign-in private, use comments appropriately, and use what you see only for your own child’s benefit. In particular, do not share other children’s photos or information. The school may remove your access, and we may do so if these terms are broken.
9. Ownership
- Yours: the school keeps all rights in what it and its users add (children’s records, observations, photos, newsletters). You give us permission to store, process and display it for the purpose of providing Nurtivo to you.
- Ours: Nurtivo, its design, software and branding belong to us. We give your school a non-exclusive, non-transferable right to use the service while it has an active trial or subscription.
10. The service
- We work to keep Nurtivo available and secure, but we cannot promise it will be uninterrupted or error-free. We may carry out maintenance and improve or change features.
- Emails (invitations, notifications, newsletters) are handed to mail servers, but we cannot guarantee that every message reaches an inbox.
- Please keep your own copies of anything you cannot afford to lose.
11. Ending the agreement
- You can stop using Nurtivo at any time (see section 5 for cancelling the subscription).
- We may suspend or end a school’s access if these terms are seriously or repeatedly broken, if payment is not made, or if we must do so by law. Where it is reasonable, we will warn you first.
- When an account ends, we handle the school’s data as described in our privacy policy. Sections that by their nature should continue (such as ownership and liability) continue after the agreement ends.
12. Our responsibility to you
- Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud.
- Subject to that, we are not liable for loss of profit, goodwill or business, or for indirect or consequential loss, and our total liability to a school for anything arising from these terms or the service in any 12 months is limited to the fees that school paid us in that period.
- Apart from what these terms state, we give no other promises about the service to the extent the law allows.
13. Changes to these terms
We may update these terms. For changes that matter we will give school administrators at least 30 days’ notice by email before they apply. If you do not accept a change, you can cancel before it takes effect.
14. General
- These terms, with our privacy policy, are the whole agreement between your school and us about Nurtivo.
- If part of these terms cannot be enforced, the rest still applies. If we do not enforce a right straight away, we can still do so later.
- A school may not transfer its rights without our written agreement.
- These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
